Head of Conferences & Buildings at London Mathematical Society

With a heritage dating back to the 18th Century, London Mathematical Society (LMS) is the UK’s learned society for mathematics. It’s purpose is the advancement, dissemination and promotion of mathematical knowledge both nationally and internationally.

LMS approached Maxwell Stephens exclusively to help recruit a Head of Conferences and Buildings for their base of De Morgan House in Central London.

The Position

The main purpose of this role was to be responsible for the facilities and building management provision of De Morgan House, including  reception services, setting up and managing supplier and utilities contracts, organising repairs and maintenance, managing refurbishment and building improvement works, fire and security responsibilities, health and safety, liaising with local authority and superior Landlord over planning and building issues.

As part of the LMS offering is providing conference facilities, the successful candidate would need to manage and support the Conference and Events Co-ordinator in the marketing and sales of conference facilities and providing on-the-day customer support.

The post holder would also have a range of finance and contracts responsibilities. This includes setting and managing budgets, managing building income and expenditure, prepare tenant contracts and annual service charges, managing residential property contracts and managing the contract and payment authorisation processes.

The Candidate

This senior role required extensive experience in a range of areas. Experience of Facilities and Office Management in a similar building was a necessity, as was having experience of managing and marketing a conference venue, ideally with an understanding of working with listed buildings and planning consents. It was also very important for LMS that the ideal candidate have an appreciation and understanding of the importance of providing a sustained high level of customer service across all activities.

In terms of personal skills and attributes, LMS required a candidate with an organised and flexible approach to their work and time management, and in addition was highly self-motivated, showing initiative and responsibility. People skills were also vital for this role. The post holder would need to have the ability to lead and manage a team effectively, as well as have excellent interpersonal skills in order to build and maintain effective relationships with people from a wide range of backgrounds.
